National History Museum of Latvia (further referred as “Museum”) is an institution of direct administration under the control of the Minister of Culture operating in accordance with the Law on Museums, the Regulations of the National History Museum of Latvia and other normative acts. The Museum’s mission is, in the interests of the Latvian state and nation, to collect, research and popularize evidence of Latvian and world’s spiritual and material cultural from the most ancient times until the modern day that are of archaeologic, ethnographic, numismatic, historic or art history significance.
The objective of this Privacy Policy is to explain for what purposes the Museum obtains your data, the scope of collecting your data, the protection of your data, the time period of the data processing and your (i.e. the data subject’s) rights during the data collection and processing.
Museum’s Privacy Policy concerns every natural person whose personal data is processed by the Museum. It concerns processing personal data regardless of the format you or any other natural person has shared their personal data: in electronic or paper format, or in any other way.
In processing personal data the Museum complies with the normative acts effective in the Republic of Latvia, with the Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), as well as with other normative acts concerning privacy and processing personal data.

What personal data and why is processed by the Museum?
The Museum processes your personal data in order to achieve its specific objective for data processing. The Museum does not request and collect personal data that is not necessary for achieving the specific objective.
The Museum processes personal data of the following categories.
- Name, surname, address and/or e-mail address – for enabling communication and for recording of data.
- Name, surname, personal ID code, address and in some cases also bank account number – for enabling various legal transactions.
- Name, surname, e-mail address, phone number, education, work experience, language skills and other information you have shared with the Museum – in connection with staff recruitment.
- Name, surname, signature – for registering a reader’s card at the Museum Library.
- Name, surname, signature, phone number or/and e-mail address – when registering for the events organized by the Museum.
- Person’s image – in connection with video surveillance in certain halls of the Museum and also when taking photos during the events organized by the Museum.
On what legal basis does Museum process your data?
The Museum processes your personal data on the following legal basis.
- Consent of the data subject (you). Sharing of the data can occur, for instance, registering for an event organized by the Museum etc.
- Processing of a child’s data. Processing of minors personal data based on the consent of the data subject is possible only with a written parental or legal guardian consent.
- Legal agreement. Processing of personal data can occur when concluding any kind of legal transaction with the Museum, including donating an object or money, receiving royalties or paying for the Museum’s paid services.
- Meeting the requirements of normative acts. Collection and storage of data is performed in order to meet requirements of a normative act. For instance, the requirements of bookkeeping regulations or regulations connected with the Museum’s main activities.
- Compliance with the Museum’s legitimate interests. Processing of data is performed by collecting and storing data the Museum has acquired by means of communication, staff recruitment, obtaining items for its collection as well as during the video surveillance; this data is collected to ensure vital aspects for functionality of the Museum, such as security, protection of its interests or ability to perform museum-related functions.
Categories of the recipients of your personal data
For the Museum’s personal data processing purposes your personal data can be shared with other parties in order and occasions stated in normative acts. For instance, your data can be shared with third parties that are collaboration partners or authorized persons according to normative acts or legal agreements or with controlling and law enforcement institutions. Before sharing your data with third parties, the Museum carefully evaluates if sharing such data has an appropriate legal foundation.
Storage of personal data
Data retention period. Personal data is held onto as long as it is necessary according to purpose of processing that particular personal data, and in conformity with the requirements of the applicable normative acts, while at least one of the following criteria exists.
- Legal obligation to store data for a certain period of time in conformity with respective normative acts.
- Need to execute legitimate interests.
- Need to fulfil obligations of an agreement.
- Valid consent of the data subject for processing of the respective personal data.
Data security. The Museum uses various security measures (physical, technical and administrative proceedings and means) to prevent unsanctioned access to your personal data, exposure of data or other discrepant usage of your personal data. Processing and storage of information as well as integrity of data is ensured by an appropriate security level. The security measures are continuously improved in accordance with security requirements.
Rights of data subject in processing of personal data
You as data subject have several significant rights that you can execute while your data is being processed by the Museum. When executing your rights, we request you to use the contact information provided in the Privacy Policy section “Administrator and Museum Contact Information”.
Please bear in mind that upon receiving your application the Museum will assess its content and the possibility to identify you and, if necessary, will request additional information from you to make sure that the data is sent to the respective data subject and to reduce the risk of misuse of your data.
- The right to access your personal data. You have the right to require the Museum’s confirmation whether it processes any of your personal data and in such a case to require access to your personal data that is being processed.
- The right to rectify your personal data. If you consider the information about you is inaccurate or incomplete, you have the right to ask the Museum to rectify it.
- The right to object to data processing. You have the right to object to processing of your data by the Museum. In this case the Museum will assess the validity of your objection; upon making a decision the Museum is allowed to continue processing your data, if the Museum has a justified reason to doing so.
- The right to data erasure. You have the right to require the Museum to erase your personal data. However, it does not concern situations when the normative acts demand and provide the Museum with the opportunity to store the data as well as cases when that is not possible technologically with reasonable effort.
- The right to restriction of data processing. In certain circumstances, you have the right to request the restriction of the processing of your personal data. The named right grants the restriction of your data processing for a period of time in order to verify the precision of data and their legal basis or to ensure an opportunity for the data subject to exercise other legal interests.
- The right to withdraw the consent to data processing. If the processing of data is performed based on your consent to data processing, you have the right to withdraw your consent in any given moment. However, this does not affect data processing that has happened prior to the withdrawal of the consent. The Museum will assess your request according to its legal interests. If personal data is no longer needed for the respective purposes, they will be erased.
Video surveillance
Video surveillance in the Museum’s premises is being used in order to prevent and uncover unlawful activities and to take care of the safety of the Museum staff, visitors and collection. Informative signs placed in the respective rooms notify about the usage of video surveillance.
If you visit the Museum or take part in events organized by the Museum and do not wish to be photographed or filmed, please inform beforehand the Museum staff member responsible for taking photos and/or filming.
The right to lodge a complaint
If you have any questions or objections in regards to the processing of your personal data performed by the Museum, we recommend you to submit an application to the Museum in person at Pulka iela 8, Riga every weekday 9:00–17:00 or electronically to the e-mail address muzejs@lnvm.lv or das@lnvm.lv. An electronic application must be signed by a secure electronic signature.
If you still believe that the Museum has not been able to resolve the issue and violates your right of protection of your personal data, you have the right to lodge a complaint to the Data State Inspection (http://www.dvi.gov.lv/lv/funkcijas/kontaktinformacija) at Blaumaņa iela 11/13, Riga, LV-1011.
Changes to Privacy Policy
The Museum is entitled to making changes or amendments to this Privacy Policy and to publish the current version of the Privacy Policy on the Museum’s internet site lnvm.lv.
